Getting Started with Calendar Templates

When you create a new Teamup Calendar, the first thing you need to do is set up the calendar structure. Sub-calendars are the heart of a Teamup Calendar; how you set them up determines your basic calendar structure. Then you can set the default calendar view, configure event fields, add custom fields, and adjust other settings for your needs. 

There are a lot of decisions when you’re setting up a calendar. It can take time to try different options and see what works best. Or you might know exactly what you want, but you still have to do the set up. With a calendar template, you can get a lot of that initial work done automatically. Find a template that fits and duplicate it. You can make any adjustments needed, but the basic structure will already be in place.

How to use a calendar template

Use your own Teamup Calendar

If you have a calendar that’s working well, you can use it as a template. For example, perhaps you want to create a dedicated calendar for a short-term project. If you already have a project calendar that works well, use it to provide the basic structure you need. Setup goes faster with the basics in place, and you can adjust as needed for your new project. Here’s a quick guide to get you started.

Here are a few of the templates you can use. 

Team Calendar

A Team Calendartemplate in Multi-week view

The Team Calendar is structured for a small team to share availability, scheduled events, and PTO. There are 5 sub-calendars: 4 for individual team members and 1 for the whole team. The default calendar view is set to Multi-week to show availability and projects with the current week always at the top. Default event fields have been rearranged and there’s one custom choice field to track PTO type.

Start with this template to organize your team. Adjust as needed for office administration, seeing shifts and availability, managing regional teams, or color-coded crew scheduling.

Team & Room Planner

The Team & Room Planner is structured for teams who need to book use of shared spaces, such as meeting rooms. It has 2 sub-calendars in a folder for Rooms, and 4 sub-calendars in a Team folder. Week view is the default calendar view, for focusing on bookings for the week ahead. 

Start with this template to quickly set up a customized self-booking system for teams or small groups. For example, you can enable client self-booking, keep information confidential and automatically prevent double bookings.

Group/Company Calendar

The Group/Company Calendar is structured for organizational scheduling of a team, events, and bookable rooms. Three sub-calendar sets are organized in folders and the default calendar view is set to Month. The Events calendars can be used for the particular event types your organization needs to track such as meetings, holidays, or industry events. 

Start with this template to set up a company calendar that does it all: team availability, booking shared spaces, and scheduling events and meetings. Tweak and customize to use for scheduling service calls, coordinating community events, or planning an academic calendar.

Yearly Planner

The Yearly Planner is structured for long-term planning of organizational events. Four sub-calendars designate event types. Need to track more than four event types? Just add additional sub-calendars. The default calendar view, Year view, shows all 12 months for the year. You can adjust the number of months to do long-range planning for a quarter, semester, etc.

Start with this template to quickly get started with long-term planning for your team, project, or company. Or convert the sub-calendars to represent family members, social events, and academics; use it to set milestones, track habits, and do personal planning for the next year.

 

A template is a starting point 

Sometimes the hardest part of getting started is making those initial decisions. Starting from a template simplifies the process by giving you a structure to work with. Then you can adjust and experiment to customize the calendar for your needs. Don’t be afraid to try new ideas.
