Scheduler view is one of Teamup’s most unique and powerful calendar views. It’s a very different calendar layout than traditional calendar views. Each sub-calendar is displayed in its own column, so events from each calendar are shown side-by-side. Scheduler view can make it easier and faster to compare schedules and find availability.
What’s different about Scheduler view?
Here’s what makes Scheduler view special:
- Sub-calendars displayed as columns: The separated columns provide clear visual distinction between each calendar, even on a busy calendar.
- Events shown side-by-side: Most calendar views sort and stack events by start time, even if they’re assigned to different calendars. Scheduler view keeps events organized by calendar, organized in a vertical time grid.
- Adjustable date range: Focus on a single day or see up to 5 years’ of events in a scrollable view.
- Adjustable resolution: Zoom in or out to see the level of detail you need.
- Useful for short-term and long-term: Adjust the view options to get granular, viewing a single day in 5-minute increments, or scroll through an overview of weeks, months, or years.
- Toggle sub-calendars: Click title bars on the calendar panel to show or hide sub-calendars and keep only the relevant ones on the screen.
- Automatically hide empty columns: Check the box to hide empty columns and see only sub-calendars with scheduled events.
Scheduler view in action
While Scheduler view can be helpful in lots of cases, two scenarios in particular benefit from the unique layout: room or resource booking, and shift/team scheduling.
Scheduler view for room and resource booking
Managers, supervisors, and coordinators often need to organize rooms and other resources so they’re used optimally. A common challenge, though, is knowing which spaces are available when. Even with everything organized and scheduled on a calendar, it’s not easy to see the availability in typical calendar views.
With Scheduler view, each resource is displayed in its own column. Availability is instantly visible and clearly organized.
WEF Media bookings
Media bookings for WEF “Summer Davos” conference. Media professionals can quickly spot an opening and reserve their time.
An ongoing, real-world example: Teamup is the calendar solution for multiple WEF events, allowing media organizations to self-book interview rooms. Scheduler view helps with streamlining the complex operation and easing coordination demand.
Media professionals can view all availability over the event duration (e.g. 3 days). With bookings shown side-by-side, it’s easy to spot an opening and make a reservation. Customized access keeps the details of other bookings private, so each organization can view and modify only their own reserved spots.
Studio management
Here’s a scenario based on a Teamup user story. A busy dance company needs an efficient, accessible way to handle studio management among different programs and departments. Their scheduling includes rehearsal times, practices, classes, and more, for dozens of instructors and hundreds of students.
Viewing bookable spaces side-by-side, with vibrant color-coding, is a faster and easier way to spot availability. Schedulers don’t have to click events open to check start and end times; they can just scan across a time slot and find an open studio calendar. And if scheduling needs a little more granularity, they can switch to viewing a single day with a zoomed-in resolution:
Shift and team scheduling
For team leaders, supervisors, small business owners, and managers, making sure there are enough people staffed for each day or shift is key to smooth business operations. Sometimes the shifts are standardized, and managers simply need to make sure that enough staff are scheduled for each shift. In other cases, customers might request services on specific dates or times. Supervisors need to quickly see which teams or individuals are available to provide the needed work.
The clear organization of Scheduler view makes this task much easier. Managers can navigate to the needed dates, then scan across a time or day slot to find an available team or staff member.
Color-coded team planner
Another scenario based on a real-world example, this service provider company offers cleaning, moving, and organizational help. They have multiple color-coded teams and services are scheduled by team, rather than by individual. With Scheduler view, they can quickly spot team availability when services are requested and schedule their in-demand teams efficiently.
Customers usually have a specific date and time in mind for their requested service. With Scheduler view showing a single day, office staff can quickly use arrows to move to the appropriate date and find a team with availability.
Small business shift scheduler
Many small businesses rely on one or two staff members for regular shifts.
In this scenario, the owner needs to fill one morning shift and one afternoon shift from a team of staff members. The colorful striping makes it clear when a schedule is filled; it’s assigned to both the shift calendar and the staff member’s calendar. When a shift is only showing one color, it’s on the shift calendar only and still needs to have a staff member assigned.
