How to Filter Events to Display Only What You Want to See

If your calendar has many events and you are looking for some specific ones, use the filter to quickly declutter your screen and display only the events you are looking for. On a web browser, look for the filter section on the left panel just below the sub-calendar list. See for yourself in a live demo.

Filter events

Filter by keywords

  1. Go to the by keywords filter.
  2. Type your keyword(s). When using multiple keywords, the OR logic is used, meaning the results will contain either one of the keywords or both.

Use the following search operators to narrow down your results:

    • Plus sign for required words – Example: +team +London will show only results that contain both of these words.
    • Minus sign for excluding words – Example: +jaguar – car will show results that contain the word Jaguar but not car.
    • Quotation mark for phrases – Example: “team meeting” will show only results containing that exact phrase.

Filter by sub-calendars

  1. Click on the by sub-calendar filter.
  2. Select the desired sub-calendar from the drop-down box, or start typing a word and select from the shortened list of matching calendars. Repeat when filtering for multiple sub-calendars.

The results will show events assigned to the selected sub-calendar(s).

Filter by custom event fields

If you have a custom event field, a third filter will be available below the sub-calendar filter. The filter will have a drop-down menu listing all custom fields of type Choice.

  1. Click on the custom event field filter.
  2. Select the desired custom event choice from the drop-down box, or start typing a word and select from the shortened list of matching options. Repeat when filtering for multiple choices.

The results will show events with the selected custom event field choice(s).

Note that you can also search for events which do NOT have an option selected for a particular custom field. There is an entry called “Empty” in the custom field filter, below the other options:

Select the “Empty” field and any event that has no value assigned for the particular custom field will be shown. You can also combine the “Empty” option with other choice options to filter for that combination, e.g. See all events without a status (the “Empty” option) and with “Hold” status. 

Use a combination of filters

You can use a combination of different filters to perform an AND logic and narrow down your results. For example, you could filter with a keyword “vacation” and select to filter by Mike’s sub-calendar. This filter combination will show on-screen events from Mike’s sub-calendar that include the keyword vacation.

How filtering is different from searching for events

  • Filtering applies only to the events currently on your screen.
  • Searching applies to a date range that you select.
